Preventive maintenance schedules

Generate work orders automatically on a calendar or meter trigger.

People who manage equipment (biomedical engineer, lab manager and the full-access roles) open More → Biomedical & facility → Maintenance schedules.

Create a schedule

  1. Choose the equipment and give the schedule a title, for example “Defibrillator monthly check” or “Autoclave quarterly service”.
  2. Pick the trigger:
    • Time: repeat daily, weekly, monthly, quarterly or yearly, with a first due date.
    • Meter: enter Every (meter units), for example every 500 hours for a ventilator or every 10,000 tests for an analyzer. The equipment needs a meter unit first (edit the equipment). Optionally set First due at; if blank it is current reading plus the interval.
  3. Set Lead days: how many days before the due date the work order is created.
  4. Save.

What happens next

An hourly job creates a preventive work order when a schedule comes into its lead window, so work is planned before it is due. Use Run now on the schedule screen to generate immediately. Pause a schedule any time with its toggle.

Note: For meter schedules, keep adding meter readings on the equipment. The next service is calculated from them.
