Features

Everything CareList does today: 72 features in 13 areas. Want the step-by-step version? Read the operating manual. The roadmap lists what comes next.

Checklists and audits

Build once, use everywhere: on the phone, in the PDF and in the audit trail.

No-code checklist builder
Thirteen question types: pass/fail, number, short and long text, date, rating, photo, drawn signature, location, barcode / QR scan, dropdown, single choice and multiple choice. Required flags, help text and question reordering.
Conditional logic
Show a question only when an earlier answer matches. Every Fail answer automatically opens “Describe the issue” and “Photo evidence” follow-ups.
Scoring and pass marks
Weights per question, points per option, a percentage score and a pass threshold per checklist. N/A and unanswered questions are left out.
Approval, layout and attestation per checklist
Require manager approval of results, show all questions on one page or as a one-question-per-screen wizard, and add an attestation statement the inspector must accept.
Ready-made library
8 packs, 70 unique checklists: admitted-patient care, infection control and patient safety, NABL laboratory, radiology and imaging, hospital facility and biomedical, diagnostic centre operations, 33 NABH department audits and 12 NABL centre audits. Installed automatically by company type; add more any time from the template library.
Manage checklists
Draft or published, duplicate, delete, export all answers of one checklist as CSV, and print a QR code that starts it directly.

On the phone

Made for busy hands on the ward, in the lab and in the scan room.

Phone-first runner
Large pass / fail targets, camera, GPS and signature capture, with the patient or test-order banner (allergies in red) on every related checklist.
Works offline
Answers are kept on the device while there is no signal and sync when the connection returns. Save a draft and continue later.
Wizard mode
One question per screen with a progress bar; Next checks required answers before moving on.
Copy answers from last time
Fill in a checklist from the last completed one for the same patient, test order, equipment or location; photos, signatures and locations are never copied.
Drawn signatures and attestations
Sign with a finger on a signature pad; the image is stored with the name and time. Attestations are stamped with the person’s name and time on the report and PDF.
Photo annotation
Take a photo, then draw red marks on it to circle the problem. The marked-up image is saved as evidence.
Barcode and QR scanning
Read a sample, medicine or equipment barcode into a question from a photo, or type it. The Scan tab opens equipment, checklists, locations, bedside patient codes and sample labels.
Start from a QR code
Scan a checklist or location QR code to start the right checklist there and then, without waiting for an assignment.
Installable app
Install CareList on any phone from the browser, no app store needed, with an offline page when there is no connection.

Assignments and scheduling

The right checklist reaches the right person at the right time.

Assign work
Assign a checklist to one or more people, a team, a location, a piece of equipment, an admitted patient or a test order, with a due date and notes.
Repeating schedules
Once, daily, weekly, monthly or every N hours (care-plan checks every 4, 6, 8 or 12 hours). The next round is created when one is completed.
Reminders
Reminders when a task is due within 24 hours or overdue, checked every 15 minutes, by push and email.
Overrides
Managers can close a task that cannot be done, with a reason; every override is listed in Override Histories.
Histories
My History for each person, Overall Histories for managers, and a full report per completed inspection.

Review and follow-up

Nothing fails silently. Every missed check becomes a task with an owner.

Approvals
Managers approve completed inspections or send them back with a note; the inspector fixes and resubmits.
Deviations
Every Fail answer is logged as a deviation with its checklist, location and inspector, and resolved with a note.
Corrective actions
Priority, assignee, due date, comments, completion note and photo evidence, with reminders. Completing an action resolves its deviation.
Automation rules
When a question fails, a score is below a threshold or any inspection is completed: create a corrective action or a work order, notify a person, or send the result to another hospital system.

Patients

Hospitals only.

Admitted patients
Admit with UHID, ward, bed, doctor, nurse, diagnosis and allergies. The ward board shows overdue care in red, filtered by ward, with search by name, UHID or bed.
Bedside QR
Each patient gets a QR code for the bedside that opens their care plan (sign-in required, no patient data in the code).
Standard care plan
Admission assessment, vitals every 4 hours, a nursing round each shift, medication and fall-risk checks, applied in one tap. Add any other checklist once or repeating.
Order tests
Order lab or imaging tests straight from the patient page; the patient’s details are filled in.
Discharge and re-admit
Discharge closes all open checklists and stops repeating ones; patients can be re-admitted.

Diagnostics

Laboratory and imaging, in hospitals and diagnostic centres.

Test orders
Patient name, UHID, age, gender, phone, referring doctor, source (walk-in, home collection, OPD, IPD), department, tests and priority. Each order gets an accession number such as DX-000123.
Sample labels
Print 1–4 sample labels with a QR code; scanning a label opens the order.
Status pipeline
Registered, sample collected (scan done for imaging), received in lab, processing, reported, verified and delivered, with the time and person for each step.
Reject and cancel
Lab samples can be rejected with a reason (haemolysed, clotted, insufficient volume and others) and any order cancelled; open checklists close automatically.
Turnaround time
Targets of 1 hour (STAT), 4 hours (Urgent) and 24 hours (Routine). The list shows in-progress, TAT-breached and verified-today counts, today’s average TAT and on-time %, with filters and search.
Specialist sign-off
Each step needs the right role: only pathologists and the lab manager verify lab reports, only radiologists verify imaging reports.
Critical values
Record who was told about a critical result and when. The call is stamped in the audit log, verifiers and quality leads are alerted at once, and the report cannot be verified until the call is logged.
Protocol checklists
The Sample Collection Checklist or Imaging Safety Screening is attached to each new order; add any other checklist to an order.

NABH and NABL accreditation

Evidence that is ready when the assessor arrives.

33 NABH department audits
ICU, Emergency, OT, wards, paediatrics, OBG and labour room, cath lab, dialysis, endoscopy, CSSD, anaesthesia, pharmacy, laboratory, radiology, ambulance, infection control, quality of care, facility safety, housekeeping, biomedical engineering, OPD, front office, MRD, information management, IT, document control, HR and purchase.
Surgical and oxygen safety
The WHO Surgical Safety Checklist (sign in, time out, sign out) and a Medical Oxygen (O₂) audit, plus pre- and post-surgery checklists.
NABL for diagnostic centres
12 audits for stand-alone centres, plus daily Westgard QC, analyzer maintenance, sample rejection, critical-value and report-release checklists.
Audit evidence
Scores, approvals, signed and attested PDFs, deviations with closed corrective actions, and an audit log of every change.

Dashboards, analytics and reports

See where you stand today, this week and this month.

Home dashboard
Today’s, this week’s and this month’s completion, quick-access tiles with overdue badges (tasks, actions, repairs, patients, diagnostics), checklists completed in the last 7 days and results for the last 30 days.
My Team Dashboard
The same figures limited to the people in your teams.
Analytics
Average score by week, most frequent failures, results by checklist, locations and inspectors by score, and maintenance cost by equipment.
PDF reports
A branded PDF for every inspection, with your logo, colour and footer, signatures and attestation.
Daily Progress Report
What was due, done and missed on a day, with a PDF download.
Email compliance report
A daily or weekly email to the quality team: completion, average score, failed audits, deviations, overdue actions, patient care, diagnostics TAT, rejections and critical values.
CSV export
Completed inspections, corrective actions, work orders and equipment, ready for Excel.

Biomedical equipment and facility

An equipment register tied to checklists and repair jobs.

Equipment register
Auto-numbered tags, category, serial number, location, status (active, down, retired) and meter readings, with the full history of inspections and work orders.
QR labels
Print QR labels for equipment; scanning one opens the device, starts an inspection or reports a problem.
Work orders
Corrective, preventive and inspection follow-up jobs with priority, status (open, in progress, on hold, awaiting approval, completed), comments, labour and downtime. An equipment-down flag marks the device as down until it is fixed.
Preventive maintenance
Daily to yearly schedules with lead days, or meter-based schedules (every N hours or km). Work orders are created automatically every hour.
Costs and approvals
Labour rate plus consumables gives the cost of every job. Jobs above a cost limit, or critical ones, wait for manager approval.
Consumables and spares
Stock, minimum levels with low-stock flags, restocking, and parts used on work orders.

Medical roles and access

Everyone sees what their job needs, and no more.

17 medical roles
Administrator, medical director, quality manager, nursing superintendent, head of department, lab manager, doctor, pathologist, radiologist, staff nurse, lab technician, phlebotomist, radiographer, pharmacist, front office, biomedical engineer and housekeeping.
Two layers of access
Manager access opens the management screens (checklists, approvals, analytics, staff, settings). Clinical permissions decide who can see and manage patients, which diagnostics steps a person may do, and who maintains equipment.
Patient privacy
Only roles with patient access see patients; opening a patient or test order is recorded in the audit log.
Right roles per company type
Hospital-only roles such as doctor and staff nurse are hidden for diagnostic centres.

Alerts and notifications

The right person hears about it in minutes.

In-app and push
A notification list in the app and push notifications on Android, iPhone and desktop browsers, with a test button.
Email alerts
Every alert can also go by email; each person can turn email off on My account.
What triggers an alert
New assignments, reminders and overdue tasks, approvals needed, corrective actions and work orders assigned or due, automation rules, critical values and TAT breaches (checked every 5 minutes, once per order).

Organisation setup

Set up once; it adapts to your hospital or centre.

Campus and locations
Blocks or centres, with locations inside them (wards, ICU, OT, lab sections, scan rooms), each with its own QR code.
Employees and teams
Employee profiles with code, phone, designation, department, campus, manager and joining date, grouped into teams.
Branding
Logo, brand colour and report footer on the app, PDFs and email reports.
Language
A built-in Google Translate switcher for staff who prefer another language.
Search
One search across patients, test orders, equipment, work orders, corrective actions, inspections, checklists and employees.
Audit log
Who did what and when, filterable by area, including the patient-data access trail.
Accounts
Password reset by email and a My account page for name, email, phone, password and email alerts.

Platform and support

One installation, many hospitals and centres.

Multi-company
Strict separation per company. The platform owner creates hospitals and diagnostic centres, sets plan, seat limit and expiry, adds users, resets passwords, suspends, impersonates and deletes.
Plans and seats
Trial, Starter, Pro and Enterprise plans with seat limits; changing a company’s type adds that type’s checklists.
Help center
Short task guides for every screen, searchable.
Operating manual
A step-by-step manual with a guide for every role, end-to-end workflows and a printable all-in-one version.
